One of Transavia's core processes is to ensure sufficient and qualified personnel for the scheduled flights. Efficient staff scheduling is essential to keep the operation running smoothly. Eveline Kooij, Cabin Crew Administration Coordinator at Transavia, explains: "Strategic personnel planning is an essential process for us. We look 6 weeks to 18 months ahead to gain insight into the required crew capacity. Based on this planning, we know how many people we need, whether we need to hire additional employees or retrain existing employees for other roles." Previously, this process was largely manual and relied heavily on telephone contact, e-mail and Excel files. This made the planning labor-intensive and error-prone.
Smart link between flight planning and HRM application
To optimize this process, Transavia enlisted the help of AMIS Conclusion. We then started with a thorough inventory of the processes and required data. The solution? A tailor-made application that seamlessly connects flight planning, staffing preferences and HR administration.
This system provides a detailed match between the availability of employees and the scheduled flights. In addition, it is used in assessing part-time applications and ensures that the staff capacity is optimally aligned with the daily flight plan.
An advanced wizard helps the employee submit part-time applications, where they can choose from no less than 216 different options. The system automatically takes into account collective labor agreements, work schedules and staffing. This not only makes it user-friendly for the crew, but also reduces the administrative burden for the planning teams.

Thanks to the new application, Transavia now has one integrated system that immediately shows how changes in working hours affect long-term planning. Eveline explains: "AMIS Conclusion has helped us optimize our processes. Employees can now easily submit their requests for part-time or parental leave via a portal. As a result, my department has to retype less data, which reduces the chance of errors. This contributes to a stable and reliable service to our passengers. In addition, employees themselves have better insight into their requests and availability. This is nice for them because it allows them to plan longer ahead. Finally, it helps us to better coordinate the distribution of part-time work with the flight schedule, making personnel planning more efficient."
